Accountable to: Society Committee and Voting Members
Main focus: Financial administration, controls and reporting
What you will do
You will maintain the Club’s financial records and help the Society Committee make responsible financial decisions.
You will keep accurate records of:
income and spending
grants and donations
sponsorship
event charges
expenses and reimbursements
assets and liabilities
restricted funds
delegated financial authority
Restricted funds are money that must be used for a particular purpose set by a funder or donor.
You will also or with supplier partners:
prepare the annual budget with the Society Committee
monitor income and spending against the approved budget
report the Club’s financial position regularly
check that spending has been properly approved
retain receipts, invoices and records of approval
reconcile financial records against account statements
help protect access to funds and financial systems
prepare reports required by the Club, Open SU, funders or the Relationship Agreement
present a financial report at the Annual General Meeting
advise on cash flow, reserves, restricted funds and financial risk
provide financial information for the annual operating and sustainability plans
report missing records, financial problems or possible misuse of funds promptly
What you can decide
You may administer funds only within the Club’s approved Financial Controls and your recorded authority.
You must not:
authorise a payment to yourself
approve your own expenses
take part in a financial decision where you may personally benefit
approve spending above your authority
make a financial commitment on behalf of Open Debate CIC without recorded CIC approval
Payments above the approved threshold must receive dual or additional approval.
The Club’s internal accounts and Open Debate CIC’s statutory accounts must remain separate and identifiable, including where Open Debate CIC holds money for the Club.

use spreadsheets or bookkeeping systems
explain financial information to non-specialists
follow approval and evidence requirements
identify financial risks and restrictions
challenge unclear or unauthorised spending
handle financial information responsibly
Open SU guidance also gives the Treasurer responsibility for bookkeeping, budgeting, financial reporting, control of assets and annual accounts.
